Conference Call – Tuesday May 15, 2007

 

NEXT MEETING at the STATE MEETING

Those on call: Marjorie, Barry, Mark, Bryant, Walter, Norman, Nancy, Karen, Lenny, Mitch, Bill E., Sam, Kathy, John, Debbie, Tyrone.

Karen welcomed everyone and reminded everyone about the timeline dates coming up.

Tentative Program and Budgets are due JUNE 11th!!! 2008 Executive Board meeting is June 19th 4:00-7:00 p.m.

Ross, Mitch, Bill, Norman need to get their information together for promotional flyers. Send to Karen and she will get to Wendy.

Budgets are due June 11th to Lenny. Please put all your needs in it including snacks, drinks, etc.

Anyone needing funds for Michigan needs to let Mark and/or Karen know ASAP. Mark talked to Joe Zublena about the commitment funds and they are still available even with the travel restrictions.

Committee Reports

 

Fundraising

All our "Spotlight Sponsors" are secured, NC Pork Council Philip Morris, Farm Credit Group and Syngenta are all in at 50,000 each. RJR, BB&T and the Ag Foundation are in at 25,000 each. The Southern Region States have committed to support States Night In (except no word from Texas yet) these would total 25,000. NC Farm Bureau is in (I think) for 10,000. Total of all these is 310,000 We are now working to secure sponsors for the Luncheon Educational Seminars cost for each of these is 7500.00. We have talked to MERIAL, Fort Dodge, Met Life, Davie Tree Service, Flextran, Hubbard Feeds, and Permatill but don't have any money in hand yet. Purina is OUT. I am still trying to meet with Kioti Tractor, but as of yet have been unsuccessful. We are working on a plan for the Monday night meal... "Got To Be NC" hoping to get various commodity groups to sponsor ie, Cattlemen Asso., Poultry Fed., Small Grain Growers etc. Will try to get NCDA involved, maybe to havethe big shopping cart and Comm Troxler. Are still trying to secure sponsor for Opening Session at 20,000. Waiting to hear back from Novartis and Progress Energy. Local donations and agents contributions appear to be up, from what I hear. I will have a complete summary from the Ag Foundation at the State Meeting.

Walter reported that Purina/Land O’Lakes is out for a Brown Bag luncheon. He has sent info to Met Life, Davie Tree (they are a definite), and Perma Till. A question was raised about the National Children’s Center on Safety. Also, the International Plant Nutrition Institute? Walter said he was still chasing Kioti Tractor. He has contacted Steve Leath about now asking Dole for money and Steve said it was OK. We have a verbal commitment from NC Farm Bureau for 10-15K.

Monday night dinner maybe we can have Commissioner of Agriculture there and have Commodity Groups sponsor meal and have it “Got To Be NC” night. Walter asked about the shirts we were getting and who would receive them. It was decided that anyone who personally gave at least $25 by the State Meeting would receive a shirt. Then anyone else who met the $1000 donation by next year would get one. We are trying to get 6-8 of the Brown Bag luncheons sold. If you have a contact with a company representative please let Walter or Bill Skeleton know and they will get you the information on the luncheons. If a company can’t fill the 90 minutes, we can get help for speakers. He has not got any bites on sponsors for the Son & Daughters, Life Members or Spouses programs at $15K each. Rough estimates are at $310K confirmed not including personal donations could be as much as $340K.

If any groups are sponsoring Wednesday Tour lunches, Walter needs to know so that group can get credit as a sponsor.

Walter brought up the idea of any 2008 State Meeting Sponsor be listed as a donor for the 2008 NACAA AM/PIC also.

 

Finance

A few budget revisions are rolling in. Once I'm clear on your numbers, quantities etc. for your budget section, I pass it on to Mark and Karen for their approval. If you haven't gotten me more specific expenses for your committee's budget, please do so by June 11th. My small checking account continues to get small donations to our National Meeting. Balance now is $17,142.53. Be thinking about auction items to donate for our State Meeting in June as this will contribute to your Agent Support for the 2008 National Meeting.

Lenny said budget deadline was JUNE 11th. He said we had approximately $17,000 in checking account.

 

Transportation

Marjorie said she had gotten detailed transportation needs from some committees. Spouses have their own transportation. We need to find out needs for shuttle to Wednesday BBQ for those that are not on tours. How many buses? The question about shuttle to and from airport was raised. It was mentioned that the Visitors Bureau may help with cost. Marjorie was to check with Wick to see if he had made that contact. We need to provide some type of shuttle from airport to hotel at peak times on Saturday and Sunday then to airport on Friday.

 

Pride/First Timer

Tyrone said that Pride and First Timer events have been split at National. He said we may need to have another Chair for one of them. Maybe David Fogarty.

 

Publicity

(video, shirts, note pads, Power Point program and marketing strategy) Voice over for video has been done (Thanks Karen). Waiting for Les to do rest. I have a quote of $1200 for 3000 note pads, 50 pages/pad. Hope to have quote on shirts before Tuesday. Barry

The voice over with Karen has been done now we are waiting on Les to finish video. Karen said she had a quote on pens from .28-.48/pen for 1000 pens. Karen and Jim will meet to work on Power Point program to be given at Districts. Information for the shirts has been sent to vendors and Barry is waiting to here back on quotes. Barry mentioned maybe getting a ECA group to make the vest with “Wolf” print as the inside. The question was raised about quality control and it was mentioned maybe to get one made and see what it looked like. Barry needs to come up with a marketing plan for us to use from after the 2007 meeting until 2008. How do we advertise the meeting to the members? It was mentioned that Life Member Committee, Spouse Committee and Son & Daughter Committee might could have a sign up sheet in Michigan to get emails from these groups to target them direct for next year. Script is being revised and soon as it is done, we will set up a time for videoing with Les and Karen. It was mentioned that we maybe should get some note pads for handing out at Grand Rapids. Barry to get a quote. Mitch said he would check with Bob Sutter about complimentary peanuts. Lenny mentioned maybe get lapel pins with logo made.

 

 

Spouses

The Spouses committee was to met April 26th in Goldsboro. Mitch said they had tentatively booked Southern States Tours and Convention for the Spouses tours. Question was raised about contract signing. Since National has money involved, Fred would have to sign contract. There are 11 whole day tours and 4- ½ day tours arranged. Mitch said that he had the 350 Carolina Preserved books at his office and also had got verbal commitment for 400 packs of peanuts. Mitch said that his committee would like to make a change in the program for Thursday and cancel workshops Thursday afternoon and allow that time for spouses to relax before the banquet. Reasoning is that the Thursday afternoon workshops have been so poorly attended in the past. Mitch is to email Fred about this.

 

Youth

Life Members

Bill said that Bill Holtzman had 2 tours set for Lexington area; Childress Vineyard and Timberlake Gallery and Childress Racing and Vineyard and a farm stop. Also, Richard Bradley was working on Southern Supreme Fruitcakes and Seagrove Pottery stops. It was mentioned to contact Toby Bost about helping with a Old Salem tour. There is also a ½ day tour to Replacement Limited. The question on Hospitality Room was raised again. Sam is to find out where the closest suite for Hospitality would be. Items for the suite can be worked out through the Hospitality Committee but we will also need local things for the suite.

 

Tours

The PI tour committee currently has 31 tours complete and 6 more under consideration, for a total of 37 potential tours. We have some great tours planned that will highlight the many segments of the agricultural industry. Tours will vary from specific agricultural topics to diverse tours that entire family will enjoy. The committee will have a conference call on May 17 to continue to finalize tour plans. We are finalizing the budget and working on a tour brochure to be used at the AM/PIC in Michigan.

Norman said that the committee had a conference call on Thursday and that there were 31 tours complete and possibly a total of 37 tours. Since SARE is donating money it has been suggested to have a tour to CEFS in Goldsboro.

 

4-H Talent Review

Travis said they were meeting with Marshall Stewart on Thursday to get his buy in and possibly ask him to be the MC for the Talent Revue. They have reviewed tapes from 9 states and approximately 30 acts.

 

Commercial Exhibits

(Michigan Exhibit –Peanuts to distribute)

Ag Communications is doing pictures for Exhibit in Grand Rapids. The Visitors Bureau will help with the booth and that Ava Pope would be in Grand Rapids with an 8’ back drop. Bryant said they needed volunteers to help man the booth in Grand Rapids for 2 hour shifts on Sunday, Monday and Tuesday.

 

Website

Debbie said she needed pictures for the web site and information for the site. She said she had sent out an email requesting information. She will have the design available at the meeting on June 19th. Would like to launch website in Michigan.

 

Facilities

We have now been assigned a Convention Coordinator with Koury. Sam said he had the contract on table skirts, tables and chairs.

 

Opening Session

Gary was on vacation and Tyrone was to get Gary to find out how large of a trailer we will need to haul the flags and banners back to NC.

If a committee needs decoration for a function they need to put this on the room request form. Meeting with wholesale florist. They have some exciting ideas for decoration that will not be like traditional decorations.
