2008 AM/PIC Committee Chairs & V-Chairs

Conference Call Minutes

April 17, 2007 8:30 a.m.

NEXT CONFERENCE CALL IS MAY 15TH AT 8:30 A.M.

Those on call: J.B. Coltrain, Gerda Rhodes, Nancy Keith, Walter Earle, Bill Ellers, John Dorner, Karen Neill, Mitch Smith, Travis Burke, Ross Young, Mark Tucker, Lenny Rogers, Greg Hoover, Kelly Groves, Debbie Roos, Fred Miller, Alan Caldwell.

Karen welcomed everyone and reminded everyone about the timeline dates coming up. Tentative Program and Budgets are due JUNE 11th!!! 2008 Executive Board meeting June 19th.

 

Karen asked everyone to look at the program in The County Agent Magazine that came out for the 2007 AM/PIC. We are getting quotes on shirts to give out at State Meeting for those that have donated money.

Fund Raising

Walter reported that Syngenta is on for $50K. Walter and Fred had a good meeting with Novartis but have not heard back. First Citizen bank in Smithfield is out. Had asked them for $15K for Sons & Daughters or Life Members. We will get $15K from SARE and use it where we need it.

Spouses

The Spouses committee was to meet next Thursday. Mitch said they had received back 2 tour packages from tour companies. The committee has contacted Bill Mangum’s office about being the Key Note speaker for the spouses’ activities. Mitch said he was also in the process of finishing the budget.

Sons & Daughters

Ross said they would have a Mountain Day and may split the group up and go to a 4-H camp one day. Marshall Stewart said that may be a possibility. The committee is now debating about whether to go to the beach or not. Karen said it may be good to have the farewell party at the Natural Science Center. Monday is Mountain Day. Tuesday is Race Day and/or Carawinds. Thursday is either beach or water park. Nancy mentioned maybe going to the Lazy 5 Ranch on Tuesday.

 

Life Members

Bill said not much was different from the meeting at Annual Conference. The committee had contacted Richard Bradley, retired agent from Chatham, about going to the Southern Supreme Fruitcake Company and maybe the pottery shops in Seagrove. Bill Holtzman had mentioned maybe Childress Winery and Childress Race Shop, and/or Timberlake Gallery. Ronnie Thompson, retired agent in Davie, said he would be willing to help with tour to Mt. Airy. Mark is to send Ronnie’s number to Bill. Maybe go to Old Salem, Mt. Airy on ½ day tours. Mitch said he would send Bill the information he had on tour packages. Gerda mentioned she need committee representation at registration from Life Members, Sons & Daughters, Spouses.

 

4-H Talent Revue

Travis said they had entries from 5 states including the Georgia Group and some from Oklahoma.

 

Publicity

Script is being revised and soon as it is done, we will set up a time for videoing with Les and Karen. It was mentioned that we maybe should get some note pads for handing out at Grand Rapids. Barry to get a quote. Mitch said he would check with Bob Sutter about complimentary peanuts. Lenny mentioned maybe get lapel pins with logo made.

 

Commercial Exhibits

Ag Communications is doing pictures for Exhibit in Grand Rapids. Bryant said they needed volunteers to help man the booth in Grand Rapids for 2 hour shifts.

 

Web Site

Debbie said she needed pictures for the web site and information for the site. She said she would be sending out an email request soon.

 

Facilities

Committee is working on facility request form and getting prices for tables, chairs, and table skirting.

 

Finance

Lenny said budget deadline was JUNE 11th. He said we had approximately $17,000 in checking account.

 

Wednesday BBQ

Mark and Karen have contract for the Deputy Fife impersonator. The cost of the BBQ will be $9/plate but prices can change before next year. Allen Said he had contacted Jeff Branch who has the sheriff’s car and does Ernest T Bass but had not heard back from him. He asked if we wanted him for Wednesday.

State’s Night In has one more state has agreed and is based on voting delegates which comes out to ~ $26,000. Grasshoppers Stadium is still up in the air.

 

Meals

Diane Turner is chair of the Sunday night meal. Nancy said they still needed a chair for the Monday and Tuesday meals. Nancy asked about meeting Sam & Greg at Koury with the Food Service people to get a rough cost on meals. Nancy said she could meet May 7 or 8. Sam is to set this up.

 

From National

Fred stated that the Galaxy Meeting link had been changed on NACAA’s web site. Galaxy will not be featured during the business session in Grand Rapids, only the 2008 AM/PIC. He said that Michigan was still scrambling to get things ready.

 

Decorations

Kelly said she needs a form if a committee needed decoration for a function. Will be on room request form? She said committee was to meet April 30th at Koury and Sam is also to be there.

 

Opening Session

General Hugh Shelton will be Opening Session Speaker. It was asked about having the 82nd Airborne All American Choir for Sunday Evening. The problem is they can only be scheduled 4 weeks out. We need a back up if they can’t do it. Possibly book someone for Sunday hospitality and use at opening session if 82nd can’t do it.

 

Administration Funding

If someone is getting moneys from DSA, AA, board member, 2008 Committee, etc. they can only get funds from ONE source. A couple of committees asked for funds, do we spread funds out over chair and v-chair? Do we let 2 people from committee get funds if needed?

Barry was to check with George about Hospitality room in Grand Rapids.
